My Care Training

Legal

Terms of use

Effective from 20 October 2026

These terms apply when you use mycaretraining.com, including our learning platform, and when you or your organisation buy training from us. Please read them carefully. If you don't agree with them, please don't use the website.

1. About us

My Care Training is the trading name of My Care Training Ltd, a company registered in Scotland. You can contact us at info@mycaretraining.com or on 0141 648 4801.

In these terms, "we" and "us" means My Care Training; "you" means the person using the website, or the organisation buying training where section 7 applies.

2. Using the website

You may use the website for lawful purposes only, and not in a way that harms the website, other users or us. You must not try to get into parts of the website or platform you aren't allowed to use, copy the platform's content by automated means, or interfere with its security.

3. Your account

  • You need an account to take courses. Your account is for you alone: don't share your sign-in details or let anyone else take courses or quizzes as you.
  • Keep your password safe and tell us straight away if you think someone else has used your account.
  • We may suspend or close an account that is misused, for example where sign-in details are shared or someone else completes training in your name. Certificates earned through misuse may be revoked.

4. Courses and certificates

  • Our courses are CPD-accredited eLearning for the UK care sector. They give general guidance on care topics. They do not replace formal qualifications, practical training, or your employer's own induction, policies, procedures and assessment of your competence. Always follow your employer's policies and procedures.
  • When you complete a course you receive a certificate with a unique number. Anyone with the number can check it at mycaretraining.com/verify (see our privacy policy).
  • If your organisation uses recertification, a course may need to be completed again after a set period. The earlier certificate is then shown as expired, but remains a record that you completed the course.
  • We may revoke a certificate that was issued in error or obtained through misuse.

5. Buying courses for yourself

  • Prices are shown in pounds sterling. We are not registered for VAT, so no VAT is added. The price you see is the price you pay.
  • What you get:
    • a single course gives you 12 months' access to that course;
    • the full library gives you 12 months' access to every course we publish, including courses added during those 12 months.
  • Access doesn't renew automatically. We'll email you 30 days before your access ends with a link to renew if you want to.
  • Payment is taken by Stripe when you order. Your access starts as soon as your payment is confirmed, and we email you a receipt.
  • Your certificates are yours to keep. When your access to a course ends you can no longer take it, but you can still sign in and download any certificates you've earned.

6. Your right to cancel (buying for yourself)

If you're buying as a consumer, the law usually gives you 14 days to cancel an online purchase. Because our courses are digital content that you can start straight away, at checkout we ask you to agree that your access starts immediately.

If you change your mind within 14 days of buying and you haven't started any course you bought, email us and we'll refund you in full. Once you've started a course, you can no longer cancel.

This doesn't affect your legal rights if a course is faulty or isn't as described. If something doesn't work, tell us and we'll fix it, or if we can't, give you a refund.

7. Organisations

This section applies to care providers who give their staff access to our courses.

  • Licences. You pay for a number of licences for a 12-month period (minimum 5). Each licence lets one member of staff take every course we publish during that period. Adding a member of staff uses a licence. Removing or deactivating them doesn't free it up until the next period.
  • Prices are the price per licence per year agreed with you. We are not registered for VAT, so no VAT is added.
  • Extra licences during a period are charged pro rata, by whole months, up to your renewal date.
  • Renewal. Before your period ends we'll agree the next period's licences with you. Staff who are still active carry over, and licences you haven't used roll over.
  • Payment. We invoice you, and invoices are payable within 30 days. We may suspend access for overdue invoices after reminding you.
  • Managers. You're responsible for who you add as managers and learners, and for keeping your managers' sign-in details secure. Managers use two-step verification by default. If you ask us to turn it off for your organisation, you accept the extra risk to your managers' accounts.
  • Your staff's information. We process your staff's personal information on your behalf, under our data processing terms in Schedule 1 below, which form part of your agreement with us.
  • Free demos last 14 days, cover every course, allow up to 3 staff, and don't issue certificates. If you become a customer, courses your staff completed during the demo receive their certificates. If you don't, the demo's information is deleted 90 days after it ends.
  • If we have a separate written agreement with you, that agreement takes priority over these terms where they differ.

8. Intellectual property

All content on the website and platform, including courses, text, images, quizzes, logos and code, belongs to us or our licensors. You may use course content for your own learning (or, for organisations, your staff's learning) only. You must not copy, share, sell, publish or adapt it without our written permission.

9. Availability and support

We work to keep the platform available and running well, but we can't promise it will never be interrupted, for example during maintenance. Support for signing in, course access and technical problems is available at info@mycaretraining.com.

10. Other websites

The website may link to other websites. We aren't responsible for their content, and a link doesn't mean we endorse them.

11. Our liability

  • Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law. Nothing affects your legal rights as a consumer.
  • Our courses provide general training. We are not responsible for how course content is applied in a workplace, or for any loss, damage or disciplinary action that results; care decisions must follow your employer's policies and professional guidance.
  • If you're a consumer: we are responsible for loss you suffer that was a foreseeable result of our breaking these terms. We are not responsible for business losses, as our courses for individuals are for personal and professional development.
  • If you're an organisation: we are not liable for loss of profit, business or data, or for indirect loss. Our total liability to you in any 12-month period is limited to the fees you paid us in that period.

12. Changes to these terms

We may update these terms. The latest version will always be on this page with its effective date, and we'll tell account holders by email about important changes. Purchases are governed by the terms in force when you bought.

13. Governing law

These terms are governed by the law of Scotland. If you are a consumer, you can bring claims in the courts of the part of the UK where you live.

Schedule 1: Data processing terms

This schedule applies when an organisation gives its staff access to our courses (section 7). For your staff's training records you are the controller and we are your processor, and this schedule is the contract between us that UK data protection law (Article 28 of the UK GDPR) requires. Words such as "personal data", "controller", "processor" and "personal data breach" have the meanings given in the UK GDPR.

1. What we process

  • Why: to provide training to your staff: their accounts, courses, progress, quizzes, certificates and reminders, and reports for your managers.
  • Whose information: the staff and managers you add to the platform.
  • What information: names, email addresses, the groups and courses you assign, learning records (lessons completed, quiz attempts and scores, completions and certificates), sign-in records, and the emails we send them.
  • How long: while you are a customer, and afterwards as set out in paragraph 9.

The platform doesn't ask for special category information, such as health details, so please don't add any.

2. Your instructions

We process your staff's personal data only on your instructions. Your instructions are these terms and the choices you and your managers make on the platform, such as who to add and which courses to assign. If the law requires us to do something else, we'll tell you first unless the law forbids it. We'll tell you if we think an instruction breaks data protection law.

3. Your responsibilities

You are responsible for having a lawful basis for giving us your staff's information, and for telling your staff how their training records are used. You can point them to our privacy policy.

4. Confidentiality

Everyone who works for us and can see your staff's personal data is bound to keep it confidential.

5. Security

We protect your staff's personal data with appropriate technical and organisational measures, including:

  • encryption in transit and at rest;
  • keeping each organisation's records separate, so you can see only your own staff, enforced in the database;
  • two-step verification for administrators, and for managers unless you ask us to turn it off for your organisation;
  • limiting access to people who need it.

6. Our service providers

You agree that we may use the service providers listed in section 6 of our privacy policy to provide the platform. Each one is bound by a written contract that protects personal data at least as well as this schedule, and we remain responsible to you for what they do. We'll tell you in advance before we add or replace a provider that handles your staff's personal data. If you object on reasonable data protection grounds, we'll discuss it with you, and if we can't resolve it you may end your agreement with us.

Where a provider processes personal data outside the UK, the transfer is protected as described in section 7 of our privacy policy.

7. Helping you

  • Requests from your staff. If one of your staff asks us to see, correct or delete their information, we'll pass the request to you without undue delay and won't answer it ourselves unless you ask us to. Your managers can see and export your staff's training records themselves, and we'll help with anything they can't do.
  • Other obligations. We'll give you reasonable help with data protection impact assessments and with any questions from the Information Commissioner's Office about our processing.

8. Personal data breaches

If we become aware of a personal data breach affecting your staff's information, we'll tell you without undue delay. We'll give you the information we have, so you can meet your own obligations, including reporting to the Information Commissioner's Office within 72 hours where required.

9. When you stop being a customer

Before your last licence period ends, your managers can export your staff's training records to Excel and download their certificates. After it ends, we'll delete or return your staff's personal data, as you tell us. If you don't tell us, we'll keep training records and certificates for 5 years after your last period ends, so you can still show your training history to inspectors, and then delete them. We keep the certificate register as described in our privacy policy, and anything else the law requires us to keep.

10. Showing that we comply

We'll give you the information you reasonably need to show that we meet this schedule. You, or an auditor you appoint who is bound by confidentiality, may audit our compliance with reasonable notice, at your own cost and no more than once a year, unless the Information Commissioner's Office requires it or after a personal data breach.
